“Information Protection and Privacy Issues in America”

Cheryl L. Pederson, Certified Records Manager (CRM)

The importance of robust data / information protection is ever increasing due to the sheer amount of data stored digitally and the growing threat of attacks to these data repositories.

 

Corporations and Government work to protect their critical data as well as the data of customers, consumers, employees and citizens. This is accomplished through Information Protection programs within the organization that set policies and procedures.

 

More important to individuals is the increased risk of identify theft of information held by banks, credit card companies, employers and government to name a few. Personally Identifiable Information is defined as data which can be used to identify or contact a person uniquely and reliably, including, but not limited to, names, physical address, e-mail address, telephone number, social security number or tax identification number, and drivers license. The compromise of Personally Identifiable Information continues at an alarming rate, with nearly 3 major incidents a month in the United States since March of this year.

 

A duty is owed to those who entrust organizations to hold key data and information. Laws and regulations being enacted will help. It will also take the involvement of RIM and Archives Professionals to help ensure sound principles are applied during the management of the information.

 

“Bridging Obstacles in E-mail, Document and Compliance Management: Trends and Best Practices”

Patrick Richardson

This session will feature a presentation by Patrick Richardson, Director of Sales, DocuData Software Inc., outlining the current state of the Electronic Document and Records Management (ERDM) Industry – specifically focusing on the major challenges facing the industry and lessons learned from companies that have successfully bridged these obstacles.

 

Session Objectives:

  1. Identify the obstacles to avoid when implementing an EDRMS and provide keys to success
  2. Identify the challenges associated with E-mail management.
  3. Provide attendees with information on compliance requirements and discuss the risk of non-compliance

 

“DOD 5015 Standards for Electronic Records Management”

Douglas P. Allen, CRM, CDIA+

This session will focus on the impact that the DOD 5015 Electronic Records Management Standards has on both the private and public sectors. Increasingly, private sector firms, state and local agencies and other organizations are requiring that their vendors be DOD 5015 Certified or Compliant. Since this standard provides a first objective method of comparing the capabilities and offerings of different Electronic Records Management software packages, understanding that standard can be helpful to any RIM professional.

 

An overview of the specifics of the DOD Standard will be included in this session. Additional detail regarding the core requirements of the standard, the capabilities noted as recommended, optional or desirable and the issues that are not addressed in the current standard will be discussed with participants in the session.

 

“eKM and Near Term Uses”

Jorge Roman

The ultimate goal of records management tools is to preserve knowledge so that it can be transferred to new generations. The Knowledge Life Cycle consists of the electronic creation, mass storage, retrieval, and subsequent assimilation of “knowledge” so that knowledge can be extracted from one brain, archived electronically and later be implanted into another brain. The information revolution is overwhelming us, the impending knowledge revolution is the only way to make good use of the information we have.

 

Knowledge Management is a vast field and the label often denotes a different meaning to each of us. In this presentation Jorge will lay down the base definitions for electronic Knowledge Management and present a first order of eKM functions that can be used in the near term. He will also demonstrate search features that allow for the search of concepts resulting in the creation of an automatic taxonomy.

 

“How To Utilize NARA’s Resources For Your Organization”

Donna Read, CRM

Where can you turn for information ranging from basic records management to planning for an enterprise-wide electronic record keeping system or evaluating software? The National Archives & Records Administration has a wealth of data, available for free to help you with a wide range of records management issues. This session will introduce you to the over 29 guidance papers issued by NARA along with other aids that are applicable to the private sector as well as the government. You will also hear about NARA’s push to create the Electronic Records Archives of the future.

 

About the Speakers

Cheryl L. Pederson, Certified Records Manager (CRM), is the Corporate Records Policy Manager for Cargill, Incorporated. Cargill is the world's largest privately held company, headquartered in Minneapolis, Minnesota, U.S.A. and is an international provider of food and agricultural products and services. Cheryl started her career at Cargill in 1972 and has held positions such as paralegal and legal records administrator in the Law Department.

She has managed the Corporate Records function within Cargill since 1998 and in November 2002 formed the Records & Information Management Center of Expertise (RIM COE). The RIM COE provides records management policies, procedures and best practices to Cargill business units and functions on a global basis for managing paper and electronic records.

Cheryl has been a member of ARMA International since 1987. She has served as Director, Treasurer and is currently the President of ARMA International.

 

Patrick Richardson, has over 20 years experience in the field of Records and Information Management with both the private and public sectors. In 1999 Patrick made the transition to the Software Industry and is currently the Director of worldwide sales for Docudata Software. A long standing member of the association, Patrick has served as the President ARMA Ottawa Chapter, Director of Conferences Region VIII, Chair ARMA International Elections Committee, ARMA International Program Committee

 

Doug Allen, CRM, CDIA+ is a Business Development Manager for Global 360 BGS. His career has spanned 30 years and has included work in the areas of: forms management, records center management, retention schedules, microfilm, imaging, document management and business process management systems. Doug has participated in the development and the implementation of new document management, imaging and workflow systems. His work within the industry has focused on the use of electronic forms, and the use/acceptance of electronic signatures.

Doug Allen is currently a member of the ARMA International Board of Directors, and has been an active member of our Association and the Association of Information and Image Management (AIIM). He has participated in standards organizations and advisory committees.

Doug also served previously as a member of the ARMA International Board of Directors (1991 – 1994) - his first tour of duty on the ARMA Board, and as a member of AIIM’s Board of Directors (1983-1986). His involvement in a number of Advisory Committees has included: the Texas Uniform Electronic Transactions Act Task Force, the Property Records Joint Industry Task Force, the Texas State Library Electronic Records and Microfilm Rules Advisory Committees. Doug is an active member of the Vendor Advisory Committee for the Texas Association of State Systems for Computing and Communications, and has spoken at the annual TASSCC meeting (2002). Doug has spoken at a number of association conferences, including a number of ARMA International and IACREOT Conferences on topics ranging from “The Key Elements of Workflow Systems” to “ Issues in Electronic Filing of Documents for Real Property Records”.

 

Jorge Roman, a 21 year Technical Staff Member and Knowledge Management researcher with the Los Alamos National Laboratory. Jorge has worked on records archival and retrieval systems for the last eight years. During this time he has also researched into search tools for information retrieval from the web, which in his view is the largest knowledge repository available. He is presently working on knowledge managements tools for use on historic information for the Department of Energy’s nuclear complex. Jorge has developed several theories for an accelerated knowledge transfer model.

 

Donna Read, CRM, Donna was introduced to records management in 1996 when she joined the History Department of a private non-profit organization, also contained within the History Department was the Records Management division.

In 1997 she became the project manager for the simultaneous implementation of an EDMS and RMA in both the history and legal departments of the organization. This project expanded to include managing the scanning and digitization of 500,000 historic documents, and other media for importation into the EDMS system. In 1998, after a reorganization, she became the Manager of the Office of Records Management.

In June of 2002 she joined the National Archives and Records Administration as a Senior Records Analyst. In this role Donna travels in 8 states included in NARA’s Southeast Region and assists Federal agencies with their records management issues.

Donna’s work in the Federal community has included assistance to various agencies including, NASA, US Fish and Wildlife, NOAA, EEOC, OSHA, VA, DOE, US Department of State, the National Park Service and other agencies.

GAIL ANN MCCREARY, CRM

Gail Ann McCreary, CRM is the Records Manager for Mississippi Power Company, a position she has held for over 25 years. Prior to starting the Records Management Program at Mississippi Power she was a reference librarian for the Mississippi Library Commission. She received her bachelor’s degree from Mississippi University for Women.

 

Gail Ann has been an active member of ARMA International since 1980, serving the association at the chapter, region and association levels. She is a former Chair of the Utilities ISG and the Member Relations Committee and has served on the ARMA International Board of Directors.

Gail Ann obtained her CRM designation in 1988 and served several years as Coordinator of the ICRM Mentorship Program.
